Job Posting: Scheduling Coordinator & Operations Assistant

Job Responsibilities include:

Front End/Inbound
  • Inbound calls – document demographics, qualify (need, location, issues)
  • Schedule and assign appointments w/ clear details/instructions for rep
  • Rescheduling – canceled appts, rep unavailable, weather, customer issues, etc.
  • Appointment confirmation calls (email and/or text as necessary)
  • Optimizing appt “routes,” adjusting for distance, clustering, project size/need, rep performance
  • Escalation- unusual/complicated requests, new build, location, etc.
  • eLeads (website form fills) – outbound calling and scheduling
  • Inbound Customer Care – collecting issues, complaints, Q&A, etc. (backup)
  • Resets – Outbound calls to get canceled appointments back on the calendar (urgent!)
  • Old/Unknown/No Result – old appts without a result to see what happened, do we need to reschedule, already had work done, waiting on proposal, etc
  • Follow-up with Sales Reps on “unresulted” sales appointments
Administrative
  • Invoicing
  • Vendor invoices and credits- attaching to CRM, generate Project Costs, troubleshoot/escalate discrepancies
  • Reconciling multiple/split invoices and credits in CRM
  • Proactively solicit late invoices and clarify incorrect invoices from vendors
  • Notify Production Mgr of invoices w/ mistakes, confusing, duplicates, etc.
  • Material Transfers
  • Misc administrative projects – as needed
  • Type up Sales Agenda for Monday Meeting
  • Other duties to fulfill the position as needed

Salary: $40,000 – $50,000/year

Qualifications

  • Customer service: 2 years (Preferred)
  • English (Required)
  • US work authorization (Required)
